A retail scale must do more than display an accurate weight. Depending on the workflow, it may calculate price, print a barcode label, send weight data to a POS terminal or support product lookup at a fresh-food counter. Choosing the wrong type can create duplicate data entry, label errors, checkout delays and difficult software integration.

This practical guide compares price-computing scales, label-printing barcode scales and POS checkout scales. It also explains the capacity, accuracy, interfaces, label formats and software questions retailers, distributors and system integrators should check before requesting samples or placing a bulk order.

Three common types of retail scales

Price-computing scale

A price-computing scale measures weight and calculates the selling price from a unit price entered by the operator. It normally shows weight, unit price and total price on operator-facing and customer-facing displays.

This type is often used at market stalls, butcher counters, produce shops and small independent stores where staff calculate a transaction directly at the scale. Some models include PLU keys or memory for frequently sold products, but they may not print labels or exchange data with a central POS system.

Label-printing barcode scale

A label-printing scale combines weighing, product lookup, price calculation and thermal label printing. The operator selects a PLU, places the product on the platter and prints a label containing product information, weight, unit price, total price and a barcode.

These scales are commonly used in supermarket produce, bakery, deli, meat and seafood departments. The labeled item is later scanned at the checkout. A barcode scale is useful when weighing happens before the customer reaches the cashier.

POS checkout scale

A POS checkout scale sends weight data to the checkout application. The POS system identifies the product, applies the price and adds the item to the transaction. The scale may be a standalone platform next to a scanner or part of an integrated scanner-scale installation.

This approach is suited to centralized checkout lanes because product data, pricing and promotions remain in the POS software. It requires reliable communication between the scale, terminal and application.

1. Map the weighing workflow first

Start by deciding where the product is weighed and who operates the scale. The answer determines the most suitable scale type.

  • Staff weighs and sells at one counter: a price-computing scale may be sufficient.
  • Staff weighs and labels before checkout: use a label-printing barcode scale.
  • Cashier weighs during payment: use a POS checkout scale connected to the transaction system.
  • Customer weighs produce: consider a self-service label scale with a simple product-selection interface.

Document the complete journey from product selection to payment, returns and inventory reporting. A scale that performs one step well can still create problems if its data does not fit the next step.

2. Select capacity and division for the products

Scale capacity is the maximum load the device is designed to weigh. Division—also called readability or graduation—is the smallest displayed weight increment. A common commercial scale may use a single range or multiple ranges, but the correct values depend on the products and local legal requirements.

Do not automatically choose the highest capacity. A scale intended for heavy boxes may not provide the fine increments required for lightweight herbs, spices or deli items. Define the minimum and maximum sale quantities and the acceptable pricing resolution.

Also check platter dimensions. Large produce bags, meat trays and bakery packages must fit without touching the counter or display pole. Overhanging products can produce unstable readings.

3. Check legal metrology requirements

A scale used to determine a price by weight may be subject to legal-for-trade approval, verification, sealing or periodic inspection in the destination market. Requirements vary by country and sometimes by application.

Before ordering, ask the local authority, importer or certification partner which standards and approvals apply. Confirm whether the exact model, capacity, division, software and printer configuration are covered. A general quality certificate does not automatically make a scale legal for commercial transactions.

Plan access for calibration and sealing. Store staff should not change protected metrology settings during normal operation.

4. Define PLU and product database requirements

A PLU identifies a product and connects it to information such as name, unit price, tare, department and label format. A small shop may need only a few direct keys, while a supermarket may manage thousands of products from central software.

  • Maximum number of PLUs
  • Direct and indirect PLU keys
  • Product-name length and supported languages
  • Departments, groups and tax settings
  • Fixed and percentage tare options
  • Promotional prices and effective dates
  • Import, export and central-update tools

For multiple stores, confirm how updates are distributed and how failed synchronization is reported. Standardizing product codes and naming rules reduces errors across scale, POS and ERP databases.

5. Design the barcode and label carefully

A label-printing scale must create a barcode that the checkout scanner and POS system interpret correctly. The encoded data may include PLU, weight, price or another identifier according to the retailer's chosen structure.

Confirm barcode symbology, prefix rules, field lengths, check digits and decimal handling. Test the code using the production POS database—not only a barcode-scanner text field. The same digits must produce the correct product, weight or amount at checkout.

Review label width, height, gap or black-mark sensing, print speed and roll capacity. The label should have enough quiet zone and contrast for reliable scanning. Product name, unit price, total price, packed date, expiry date, ingredients and regulatory information may also be required.

Use real media during the pilot. Adhesive, freezer exposure, moisture, grease and curved packages can affect both label attachment and barcode quality.

6. Match interfaces and communication protocols

Retail scales may offer RS232, USB, Ethernet, Wi-Fi or other interfaces. The connector is only one part of compatibility; the application must also support the communication protocol and data format.

For a POS checkout scale, document the request-response sequence, stable-weight indicator, decimal positions, units and error messages. Confirm what happens when the scale is moving, overloaded or disconnected.

For a networked label scale, check how PLU data and label templates are uploaded, how sales data is downloaded and whether multiple scales can be managed from one tool. Ask for protocol documentation or an SDK early if custom integration is required.

7. Evaluate the operator and customer displays

The operator should be able to read weight, unit price and total price without changing position. The customer-facing display should present the same essential information clearly.

Check character size, brightness, viewing angle, language support and pole height in the real installation. For touch-based self-service scales, test product search, category navigation and error recovery with users who have not received special training.

Keys should be easy to clean and resistant to repeated use. Frequently used functions—PLU selection, tare, zero, print and reprint—should not require complicated menus.

8. Plan tare and packaging workflows

Tare removes the weight of trays, bags or containers so the customer pays for the product rather than the packaging. Define whether staff use a fixed tare stored in the PLU, a preset tare key or a weighed tare.

Test the actual containers and confirm how tare appears on the display, label and POS record. Incorrect tare can create pricing disputes and compliance problems. Restrict configuration permissions and train staff on the approved method.

9. Review printer serviceability and consumables

For a label-printing scale, daily reliability depends on paper loading, printhead condition and sensor calibration. Staff should be able to replace a roll quickly without misrouting the media.

Check supported roll dimensions, label core, print width, label sensor and printhead life. Confirm access for cleaning and jam removal. Standardizing label sizes across stores can simplify purchasing and support, but only if the selected label contains all required information.

10. Consider environment, hygiene and power

Produce, meat, seafood and bakery departments can expose equipment to moisture, crumbs, dust, temperature changes and frequent cleaning. Match the enclosure and cleaning method to the real environment.

Keep liquids away from non-sealed controls and printer openings. Confirm operating temperature, storage temperature and condensation limits. If the scale has a rechargeable battery, test a full shift and define charging and replacement procedures.

For mains-powered scales, verify adapter voltage, plug type and destination-market certification. Test startup, zero recovery and data reconnection after a power interruption.

11. Plan OEM and multi-store deployment

Distributors and retail solution providers may require custom logos, key sheets, firmware defaults, label templates, packaging, manuals or software localization. Define these items before sample approval.

Create a standard deployment record for each approved model:

  • Capacity, division and unit
  • Metrology approval and seal requirements
  • Firmware and configuration version
  • PLU database and update method
  • Barcode format and sample label
  • Interface, protocol and network settings
  • Approved media, adapter and accessories
  • Calibration, cleaning and support procedure
